PennyLane integration into Kash.Click

1. General presentation

This documentation describes in detail the integration between the Kash.Click point-of-sale software and the PennyLane accounting software. This integration enables the automatic transfer of accounting data from sales made in Kash.Click to PennyLane, using standard synchronization mechanisms and the OAuth protocol.

3. Log in to your PennyLane account

The connection between Kash.Click and PennyLane is made from the Kash.Click interface.

  1. Go to the Settings menu
  2. Open the General Options section
  3. Go to the Web Services / Integrations section
  4. Click on the "Log in to PennyLane" button

This button uses the OAuth protocol provided by PennyLane. The user is redirected to a secure page hosted by PennyLane to authorize or deny Kash.Click access to their accounting account.

4. Authorization and import of historical data

Once authorization is granted, the user is automatically redirected to Kash.Click. The software then offers to automatically send order and payment history to PennyLane.

By default, the start date corresponds to the beginning of the fiscal year. For example, if the fiscal year ends on December 31, all data from January 1 up to the current date will be transmitted. This operation can take several tens of minutes depending on the volume of data.

5. Events that generate accounting entries

After the initial connection and possible transfer of history, Kash.Click automatically saves accounting data in PennyLane according to three types of events.

5.1 Order Registration

When an order is registered, Kash.Click generates several accounting entries:

  • One or more transactions on the sales accounts (type 706 / 707 / 711 depending on the configuration, broken down by VAT rate)
  • One or more transactions on the VAT accounts, with a separate account for each VAT rate.
  • A transaction on the client's account

Sales and VAT accounts are systematically broken down by rate (example: 20%, 5.5%, etc.).

Before registration, Kash.Click checks for the existence of the client in PennyLane:

  • If the customer already exists, their accounting account is reused.
  • If the customer does not exist, Kash.Click automatically forwards the customer information to PennyLane, which creates the corresponding account and returns the associated account number.

💡 If accounting chapter management is active, the software will use your configured accounting chapters for Pennylane exports.

5.2 Payment for an order

Payment for an order triggers a new series of accounting entries:

  • Debit from customer account
  • Credit to the accounting account corresponding to the payment method used (cash, bank card, bank transfer, etc.)

5.3 Cash register closing

When the till is closed, Kash.Click generates global entries:

  • Debit to the general sales account (not broken down by VAT)
  • Credit to the general revenue account

Any discrepancies or errors in the cash register are automatically recorded in the accounting accounts dedicated to cash register errors and debit the corresponding payment method chapters.

6. Data Synchronization

The integration also includes regular synchronization of certain reference data between Kash.Click and PennyLane.

  • Payment methods
  • VAT %
  • Accounting journals

Each cash register configured in Kash.Click is associated with a separate accounting journal in PennyLane. This allows you to manage a business using one or more cash registers, while maintaining a clear separation of accounting entries per register.

7. Summary

Kash.Click's PennyLane integration ensures reliable, automated, and structured transmission of accounting data. It guarantees consistency between sales, payments, VAT, customers, and cash register closings, while adhering to PennyLane's accounting principles.
